CourseArc is an enterprise platform that organizations use to develop, review, manage, and maintain structured training. This Privacy Policy explains what information CourseArc collects, how that information is used, and the choices available to organizations and their users.
CourseArc is provided on a workspace basis. Each organization operates within its own workspace, configured with its own standards, guidance, branding, and settings. Much of the information described below is provided by an organization and its authorized users in the course of building and reviewing training materials.
Information We Collect
CourseArc collects information needed to provide workspace access, instructional development tools, and platform functionality. Depending on how your organization uses the platform, this may include:
- Account and identity. Name, work email address, role, and authentication and login activity.
- Organization and workspace. Organization affiliation, workspace membership, permissions, and administrative settings.
- Content you provide. Uploaded course materials, curriculum, and supporting documents; media and resource files; glossary terms, standards, and guidance content; templates; course catalog and tracker records; and other authored content.
- Requests and outputs. Questions, review requests, and other requests submitted to the platform, together with the reviews, drafts, recommendations, and responses the platform returns.
- Collaboration activity. Notes, comments, mentions, notifications, and activity within a workspace.
- Support and feedback. Messages, feedback, and support requests.
- Usage and technical data. Usage and operational analytics, device and browser information, and log data related to platform activity.
How We Use Information
CourseArc uses collected information to:
- Authenticate users and manage workspace access and permissions.
- Provide instructional development tools, including drafting, document review, objective analysis, accessibility and compliance analysis, and knowledge lookup.
- Apply your organization’s standards, guidance, and review criteria to submitted content.
- Generate reviews, recommendations, and responses that support your team’s work.
- Enable collaboration, project tracking, notifications, and workspace administration.
- Maintain, secure, troubleshoot, and improve the platform.
- Support onboarding, pilot evaluation, and product improvement.
- Respond to support requests and submitted feedback.
Uploaded Files and Course Materials
Uploaded documents and materials are processed to generate the reviews, drafts, analyses, and other outputs your team requests.
CourseArc uses temporary storage during processing workflows. Some uploaded files may be removed automatically after processing completes, while others are retained within your workspace so your team can continue working with them.
Authorized personnel may review submitted content, requests, and generated outputs to maintain and improve quality, accuracy, usability, and alignment with organizational guidance.
Users should not upload regulated, classified, or highly sensitive information unless explicitly authorized by their organization.
Automated and Assistive Features
CourseArc includes automated and assistive features that process submitted content, including questions, uploaded materials, and extracted document text, to produce reviews, drafts, recommendations, and responses within the platform.
This processing is performed to deliver CourseArc’s functionality to your organization. CourseArc does not sell your information or workspace content, and does not use it for advertising.
Assistive outputs are intended to support, not replace, qualified instructional and subject-matter review. Outputs may contain inaccuracies and should be verified by appropriate personnel before operational use.
Collaboration and Workspace Activity
Workspaces include collaboration features such as shared notes, comments, mentions, notifications, and activity history.
Content and activity within a workspace may be visible to other members of that workspace and to workspace administrators, consistent with your organization’s configuration and policies.
Data Sharing
CourseArc does not sell personal information or workspace content.
Information may be shared with trusted service providers that help operate the platform, under confidentiality obligations and only as reasonably necessary to provide the service. These include providers for:
- Authentication and identity
- Cloud hosting and infrastructure
- Database and file storage
- Email and notification delivery
- Analytics and monitoring
Information may also be disclosed where required by law, or to protect the rights, safety, and security of users, organizations, or the platform.
Data Retention
CourseArc retains account, workspace, content, collaboration, and usage information for as long as reasonably necessary to provide the service, meet legal and security obligations, and support your organization’s use of the platform.
Temporary files created during processing may be removed automatically after processing completes.
Organizations may contact the CourseArc team to discuss retention, export, or deletion of their workspace data.
Security
CourseArc uses reasonable technical, administrative, and organizational safeguards to help protect information and workspace content.
No system can guarantee complete security. Users remain responsible for following their organization’s policies regarding confidential, regulated, or sensitive materials.
Organizations with specific security, hosting, retention, or compliance requirements may contact the CourseArc team to discuss enterprise deployment options, workspace configurations, or operational accommodations.
Organizational Workspaces and Data Ownership
CourseArc is deployed on a per-organization basis, and workspaces may be configured with organization-specific standards, guidance, branding, and settings.
Content submitted to a workspace remains the responsibility of the sponsoring organization. Workspace administrators may have visibility into workspace membership, submitted materials, activity, and generated outputs, consistent with organizational policy and platform administration.
Organizations are responsible for managing their users’ access and for ensuring appropriate use of the platform.
Your Choices
You can access, update, or request correction of your account information through the platform or your workspace administrator.
Requests to access, export, or delete workspace content are coordinated with your organization, which administers its own workspace.
You may opt out of non-essential communications. Essential service, security, and administrative messages may still be sent.
Cookies and Analytics
CourseArc uses cookies and similar technologies to keep you signed in, remember preferences, and understand how the platform is used so it can be maintained and improved.
Children’s Privacy
CourseArc is an enterprise platform intended for use by organizations and their authorized personnel. It is not directed to children and does not knowingly collect information from them.
Changes to This Policy
CourseArc may update this Privacy Policy from time to time. Material changes will be reflected by updating the “Last updated” date above and, where appropriate, communicated to organizations.
